Each company has its own set of task statuses and update labels. You can change them to match how your team works.
Only Group Admins can customize statuses and labels. Everyone else uses the set the admins chose.

Open the workflow settings

1

Go to Custom Tasks

Select Custom Tasks in the sidebar, or open the Custom Tasks tab on a property.
2

Select Customize

Customize is next to New task. The Customize workflow window opens with two tabs: Task status lines and Log update labels.
Changes save as you make them. Select Done to close the window.

Change task statuses

On Task status lines you can:
  • Rename a status by editing its name.
  • Recolor it with the color picker.
  • Reorder it by dragging the handle. New tasks start in the first open status.
  • Add one: type a name in New status and select Add status.
  • Remove one with the delete icon.
Status names must be unique, and up to 40 characters.

Completed and Canceled are locked

Completed and Canceled close a task and are part of every workflow. You can recolor and reorder them, but you can’t rename or remove them.

Remove a status

When you remove a status that tasks are in, pick another status in Move tasks to, then select Remove status. Each moved task gets a note in its activity. You can move them to any status, including Completed or Canceled. Moving tasks this way doesn’t ask what the team should remember. You can’t remove the last open status, because new tasks need somewhere to start.

Change update labels

On Log update labels you can rename, recolor, reorder, add and remove the labels people pick when they log an update. None of them are locked, but you must keep at least one. Removing a label keeps it on past updates, so your history doesn’t change. Nobody can pick it for new updates.
