Reviewing an invoice means opening one of the invoices in your queue, reading what the vendor billed and what the supporting data shows, and deciding whether to approve, partially approve, reject, or send it back for more data. Use this article to find your assigned invoices and understand what each review tab tells you.
Acting on invoices is limited to the consultant role. Consultants review vendor billing on behalf of building owners. Other roles can view spending but cannot take review actions.

Find invoices assigned to you

Open the Review Pending panel to see the invoices waiting on your review. Under the Assigned to you heading, each item shows the invoice or proposal number, its property, its date, and a status chip. Select an invoice to open it. If nothing is waiting, the panel shows “No pending Invoices or Proposals assigned to you.”

Understand invoice statuses

An invoice moves through these statuses as it is reviewed:

PendingAwaiting your review, in the queue.
Pending DataSent back for missing information. It returns to Pending once the data arrives. See Request more data on an invoice.
ApprovedApproved in full.
Partial ApprovalApproved at a reduced, reviewed amount.
RejectedRejected in full.
Approved, Partial Approval, and Rejected are final statuses. A finalized invoice can be reopened with Undo Final Stamp, which returns it to Pending. See Approve, reject, or partially approve an invoice.

Read the review tabs

An open invoice has several tabs. The default tab depends on where the invoice is in its lifecycle: while an invoice is still being worked on you land on AI Review, and once it is finalized you land on Overview instead, since the decision is already made.

AI Review

Shows the AI’s recommended decision, a confidence level, identified savings, and analysis findings tied to the contract. See Understand the AI invoice review. This tab appears when AI invoice review is enabled for your account.

Overview

Shows the invoice details — amounts, property, service provider, and line items.

Notes

Reviewer notes and the review history for the invoice. See Add notes and attachments to an invoice.

Attachments

The invoice PDF and supporting documents, including linked work orders and service reports. See Add notes and attachments to an invoice.

Dispute

Where you raise and track a dispute with the vendor over a charge. This tab appears when dispute management is enabled. See Dispute an invoice charge.

Decide how to act

Once you have read the details, take an action from the toolbar at the bottom of the invoice: Approve, Reject, Partial, or Request Data. For what each action does and when to use it, see Approve, reject, or partially approve an invoice.
