# Check service history

> How to read the Service History tab on a property, elevator, or contract, with maintenance visits month by month against the contract's requirement and callbacks against its limits, and how to mark a visit as not performed.

The **Service History** tab shows, for each elevator, whether the maintenance the contract asks for happened, and how many callbacks it had compared with what the contract allows. It answers questions like "which units missed a visit this year?" without adding up tickets by hand.

> [!NOTE]
>
> The tab is on a property's detail page, an elevator's page, and a contract's detail page. Property pages are consultant-only; clients can see the tab on the contracts and elevator pages they can open. Only consultants, and Lift AI admins, can mark a visit as not performed.

## Open Service History

Open a property, an elevator, or a contract, and select the **Service History** tab. See [Open a property's details](https://help.liftai.com/portfolio/property-details.md), [View an individual lift](https://help.liftai.com/portfolio/view-a-lift.md), or [View contract details](https://help.liftai.com/contracts/view-a-contract.md).

The tab has two views, **Maintenance visits** and **Callback/Emergency Visits**. Both use the **Period** dropdown on the tab: **Last 12 months** (the default, including the current month) or one of the last four full calendar years. This dropdown is separate from the **Period** in the filter bar.

Each grid has one row per elevator and one column per month. Use the search box to find a unit, and select an elevator's name to open its page in a new tab. On a contract, a **Property** column shows which building each elevator is in.

## Read the Maintenance visits grid

The **Requirement** column shows what the contract asks for, for example "2 visits / 3 months". Each period is one cell; a period longer than a month spans its months. Each cell shows an icon for its state; hover over it to see the state by name:

| State | What it means |
| - | - |
| **Done** | The records Lift AI holds meet what the contract asks for in that period. |
| **Partial** | The period has ended, and some of the work reached Lift AI, but less than the contract asks for. |
| **No record** | The period has ended, nothing reached Lift AI for it, and nobody has said why. |
| **Skipped** | The maintenance didn't happen, and someone marked it as not performed. |
| **Open** | The period hasn't ended yet, so there's nothing to answer for. |

The **Done**, **Partial**, **No record**, and **Not performed** columns count each row's periods in those states. The grid is sorted by **No record**, so the units with the most unexplained gaps come first.

Select a cell to see the detail: what the contract expects, the visits or hours recorded with links to their tickets, and a history of marks and of records arriving.

## Mark a visit as not performed

When you know a visit didn't happen, for example the service provider confirmed it was missed, record that so the gap is explained rather than left as **No record**.

**1. Open the period**

Select a **No record** cell. You can only mark a period that no maintenance record has reached.

**2. Mark it**

Select **Mark as not performed**. The cell turns to **Skipped** and the row's **Not performed** count goes up.

You can undo this at any time: open the cell and select **Remove not performed**. If a maintenance record for that period reaches Lift AI later, the record wins and the cell changes to **Partial** or **Done**. The mark stays in the cell's history.

## Read the Callback/Emergency Visits grid

The **Requirement** column shows the contract's yearly limits per elevator, for example "≤3 callbacks" and "≤3 emergency". Each month cell shows that month's callbacks, with a red up arrow when there were more than the month before and a green down arrow when there were fewer. The **Callbacks** column totals regular, deferred, and emergency callbacks over the period, and **Emergency** counts how many of those were entrapments.

A red warning icon next to an elevator's name means it's over its contracted callback rate, emergency rate, or both. Hover over the icon to see the unit's yearly rates against the limits.

Select a month cell to see that month's callback tickets, with links to each one.
