# Track LOLER examinations and defects (UK)

> How UK accounts track lifts against LOLER thorough examinations, record examination reports, file defects in categories A, B, and C, and read the defect analytics and Open Defects export.

UK accounts track compliance the LOLER way: each lift has a last and next thorough examination, and examinations raise defects in categories A, B, and C. This page covers what's different for UK accounts. Everything else in [Compliance](https://help.liftai.com/compliance/compliance-dashboard.md) works the same.

> [!NOTE]
>
> UK features are set up by Lift AI for your company's account, along with UK spelling and pounds sterling. You don't turn them on yourself. If your company works in the UK and you see US terms such as "violation" and "certificate expiration", contact Lift AI support. The Compliance features on this page are available to the **consultant** role.

## UK terms

Across the app, UK accounts see:

* **Lift** for elevator, car, or unit. The sidebar's **Elevators** item reads **Lifts**.
* **Defect** for violation, including on Needs Attention, where an overdue one reads **Defect overdue**.
* **Callout** for callback, for example **Callouts** and **Annualised Callout Rate**.
* **Examination** for the LOLER thorough examination, in **Last Examination** and **Next Examination**.
* **Overdue** for an expired Inspection Status in the Lifts table.

A few screens still use the US word, for example the document-type dropdown when you tag an upload (it says Violation) and the **Back to Elevators** link on a lift's page.

## Read the Lifts list

Select **Lifts** in the sidebar. Six tiles sit across the top:

| Tile | What it counts |
| - | - |
| **Lifts** | The lifts in your current selection. |
| **Examinations Due Soon** | Lifts whose next examination is due within the next 14 days. |
| **Overdue Examinations** | Lifts whose next examination date has passed. |
| **Open Defects** | Every unresolved defect, including category C. |
| **Open Category A Defects** | Unresolved defects in category A. |
| **Defects Closed (Last 14 Days)** | Defects resolved in the last 14 days. |

Below the tiles, a defect analytics strip has three charts:

* **Open vs. Closed Defects**: defects opened and closed each month over the last 12 months.
* **Open Defects by Severity**: the defects open now, split into Category A (immediate risk), Category B (requires action), and Category C (observation). Open defects with no category show as **Uncategorised**.
* **Upcoming Defect Due Dates**: open defects due in the next 90 days, grouped as 14 days or less, 15–45 days, and 46–90 days. Overdue defects and category C defects aren't included.

The table lists each lift with its **Portfolio**, **Lift Name**, **Property**, **Last Examination**, **Next Examination**, **Open Defects**, **Closed Defects**, **Next Defect Due**, **Defects due within 7 days**, and **Service Provider**. The examination dates filter the same way as the other dates. **License**, **Jurisdiction**, and **Inspection Status** are hidden by default; turn them on from the column controls. The table is sorted by **Next Examination**, latest first. Select the header to flip it so the soonest-due examinations come first.

A lift whose latest examination report is coded DL (deleted from schedule) is left out of the list, the tiles, and the export.

## Record an examination report

Add a LOLER report the same way as any inspection report: select **Upload Document** in the sidebar, then use **Upload & tag** (tag the page as **Inspection Report**) or **Add manually** (the **Inspection Report** tile). See [Add and review an inspection report](https://help.liftai.com/compliance/inspection-reports.md).

For UK accounts, the form replaces **Status** with the LOLER fields:

| Field | What to enter |
| - | - |
| **LOLER Code** | Required. **OK — no defects**, **BD — minor defect (action advised)**, **AN — critical defect**, **NV — item not available**, or **DL — deleted from schedule**. |
| **Report Number** | Optional. The examiner's report number, shown on the lift's **Compliance** tab so you can match defects back to the report. |
| **Report Issued Date** | Optional. |
| **Next Inspection Due** | Optional. The date the next thorough examination is due. |
| **Next Inspection Due (note)** | Optional. Use it when the report gives a condition instead of a date, such as "Prior to further service". |

**Inspector Name** is optional, as it is for every account.

How reports update the lift:

* **Last Examination** is the **Date of Inspection** of the lift's most recent report by inspection date, so entering an older report doesn't change it. That includes an NV report: it records an examination attempt, so Last Examination shows its date even though the lift wasn't examined.
* **Next Examination** is the **Next Inspection Due** from the most recent report that states one. A report without that date, such as an NV report when the lift wasn't available, doesn't reset it: the lift stays due against the date its last full examination set.
* A report coded OK, BD, or AN with a **Next Inspection Due** after the inspection date also updates the lift's certificate to expire on that date, which sets its **Inspection Status**.

> [!NOTE]
>
> The guided review for reports Lift AI reads through **AI pipeline** doesn't have the LOLER fields or defect categories. To record them, use **Upload & tag** or **Add manually**.

When you save a report for a lift that already has open defects, Lift AI asks whether to carry each one forward, mark it superseded by the new report, or mark it resolved. See [Open violations after a new report](https://help.liftai.com/compliance/inspection-reports.md#open-violations-after-a-new-report).

## Defect categories

Each defect can carry a category, set with the **Severity** field when you add a defect on the report form or with **Add defect** on the lift's **Compliance** tab:

| Category | Meaning | Correction Due |
| - | - | - |
| **A (Urgent)** | Immediate risk. | Required. |
| **B (Standard)** | Requires action. | Required. When you choose B, it fills in as 90 days after the open date (on the report form, 90 days after the **Date of Inspection**); you can change it. |
| **C (Observation)** | An observation or recommendation. | Leave blank. Category C has no deadline. |

The category is optional, and so is the code. **Date Open** and a **Description** are required; in the **Add defect** dialog the description needs at least 10 characters.

Category C defects are recorded but not chased. With no due date, they never go overdue, never appear in Needs Attention, and aren't counted in **Defects due within 7 days** or the upcoming due dates chart. They still count in **Open Defects** and in the severity chart until you resolve them.

On the lift's **Compliance** tab, each defect shows a **Category A**, **Category B**, or **Category C** chip. Hover over it for its meaning. To resolve a defect, see [Resolve a violation](https://help.liftai.com/compliance/resolve-a-violation.md); for a UK account the dialog asks "How was this defect resolved?" and the button reads **Resolve Defect**.

## A lift's Compliance tab

On a lift's page, the **Compliance** tab's **Certificate** card shows **Next Examination**, **Last Examination**, **Report Number**, and **Jurisdiction**, with buttons to download or upload the certificate on file. The **Defects** card lists open and resolved defects. See [View an individual lift](https://help.liftai.com/portfolio/view-a-lift.md).

## Export open defects

On the Lifts list, open the **Export** menu and choose **Open Defects as CSV** or **Open Defects as Excel**. The file lists every unresolved defect in the portfolios, service providers, and regions selected in the filter bar, including overdue and category C defects, with each defect's category, code, location, dates, responsibility, description, and property. Dates use the day/month/year format. See [Export open violations](https://help.liftai.com/compliance/filter-compliance.md#export-open-violations).
